Separate The Product Pack From The Logistics Unit

Begin with a packing hierarchy rather than one carton-artwork file. A folded jersey in a bag or paper wrap is a consumer or product pack. Several identically labelled garments may form an inner pack. One or more inner packs go into a master export carton. Several master cartons may be secured as a palletized logistics unit. Each level needs only the data required by the buyer's receiving, inventory and distribution process.

Write the hierarchy as quantities and relationships: one garment per product pack, a defined size and colour per inner pack, a stated number of inner packs per master carton, and a stated number of cartons per pallet when pallets are used. For mixed-size cartons, list the exact size breakdown and the location of that information. Do not let a shorthand such as assorted sizes replace a count that receiving staff can verify.

The buyer should also decide which level carries brand artwork and which level remains a functional transport label. Retail-facing artwork, suffocation warnings, fibre or origin information and market-specific consumer statements require separate review. A master-carton mark is primarily a receiving and handling control; adding decorative copy must not make the order reference, contents, carton sequence or destination difficult to read.

Build One Buyer-Approved Carton-Mark Data Table

Create a field-by-field table before layout. Typical buyer-controlled fields include buyer name or code, purchase order, style or SKU, product description, colour, size or size ratio, pieces per carton, carton number expressed as one of a total, destination or consignee code, and any buyer routing reference. Factory-recorded fields can include production lot, packing date and inspector reference when the buyer requests them.

Define the units and calculation rule for dimensions, gross weight and net weight. Net weight should describe the goods under the agreed method; gross weight includes the goods and packaging. The approved brief should state whether values are planned, measured per carton or averaged, plus the allowed tolerance and rounding. Final inspection should flag material differences instead of printing a convenient weight across every carton.

Treat country-of-origin and import wording as destination-specific requirements supplied or approved by the buyer or importer. The carton mark should not invent a universal legal statement. Record the exact wording, language, type size, placement and whether the requirement applies to the product, consumer pack, master carton or more than one level. Confirm changes when the destination or importer changes.

Control SSCC And Barcode Ownership Before Printing

GS1 describes the Serial Shipping Container Code as an identifier for a logistics unit, which may be a case, pallet or parcel assembled for storage or transport. It is not the same as a product GTIN, a purchase-order number or a carton count. A buyer requesting SSCC labels should state which physical level is the logistics unit and how the identifier connects to advance shipping or warehouse data.

GS1 says organisations build GS1 identification keys from a GS1 Company Prefix obtained through GS1 membership. The party authorized to allocate the SSCC and manage uniqueness must therefore be named. A factory should not create customer identifiers from an unapproved prefix or recycle sample numbers into bulk. The brief should provide the approved allocation method, data file, verification route and owner of any reprint decision.

ISO 15394:2017 specifies minimum requirements for labels containing linear bar codes and two-dimensional symbols on transport units, including human-readable data, label placement, material and symbol quality recommendations. Its scope does not make every customer label an ISO-certified label, and the ISO abstract notes it is not applicable to direct printing on kraft-coloured corrugated surfaces. Confirm the buyer's barcode symbology, quiet zones, dimensions, contrast, application surface, verification grade and scan test instead of assuming that any visible barcode is usable.

Use Handling Symbols Only When They Carry An Instruction

ISO 780:2015 specifies graphical symbols used to mark distribution packages with handling and storage instructions. Its abstract says the symbols should be used only when necessary and excludes handling instructions specific to dangerous goods. The buyer should select the relevant symbol and meaning, not fill empty space with familiar icons that have no approved packing requirement.

Convert each selected symbol into an operational control. A keep-dry instruction requires moisture protection and a packing method that supports it. A stacking or clamp restriction needs agreement with the warehouse and freight route. Orientation arrows must match how the product and internal support are designed to travel. Printing a symbol does not itself prove that the carton construction protects the goods.

Keep packaging performance separate from marking. Carton board grade, dimensions, closure, liners, moisture protection, internal void control, edge protection, stacking pattern and any agreed package test belong in the packing specification. Record the evidence requested by the buyer. ISO 780 conveys handling instructions; it does not certify drop, compression, vibration or climatic performance for a finished shipment.

Apply ISPM 15 Only To The Relevant Wood Packaging

Ask whether export packing includes raw-wood pallets, crates, boxes, cable drums, spools or dunnage. IPPC guidance identifies these forms of wood packaging material as potentially regulated under ISPM 15 because they can carry pests in international trade. The shipment plan should name the wood-packaging supplier, treatment and mark verification when regulated material is used.

Do not apply the rule loosely to ordinary corrugated master cartons. The IPPC implementation page defines wood packaging material as wood or wood products excluding paper products. ISPM 15 also lists exemptions for material made entirely from thin wood of six millimetres or less and for processed wood such as plywood, particle board, oriented strand board or veneer produced using glue, heat or pressure. Destination authorities remain the decision point for a specific shipment.

The IPPC states that approval to apply the ISPM 15 mark comes from a national plant protection organization or an officially audited and mandated organization. A brand logo, supplier declaration or self-created stamp is not that mark. Approve A Physical Pack And Reconcile It At Inspection

Approve a representative packed sample before bulk packing when the order or route justifies it. The approval set should show the folded product, protective layer, labels, inner-pack quantity, master-carton arrangement, closure, carton mark on every required face, barcode label if used and pallet pattern if used. Photograph the open pack and closed carton beside the revision-controlled packing matrix.

At final inspection, sample physical cartons and reconcile contents against the packing list and approved matrix. Check style, colour, size ratio, quantity, product-pack and inner-pack labels, carton sequence, dimensions, gross and net weight method, barcode readability, mark legibility, closure and visible damage. Record the carton numbers checked so a mismatch can be contained rather than treated as a general visual comment.

Use change control for replenishment orders. A new destination, buyer warehouse, purchase-order format, size mix, carton dimension, barcode program, palletization route or freight-forwarder instruction can make old artwork wrong even when the garment is unchanged.
